Privacy policy

Last updated September 30, 2026

This policy explains what personal data PeopleBeam Technology Ltd (“Beam”, “we”, “us”) collects, why, and what you can do about it. It covers our website (peoplebeam.com), the Beam app (app.peoplebeam.co), our emails, and demo calls.

The short version

Your organization decides what goes into its Beam workspace. For that content we act on its behalf, as its processor.
We collect what we need to run Beam, bill for it, support you and improve it. We don’t sell personal data or use it for advertising.
Card details go straight to our payment provider. We never see or store full card numbers.
You can ask to see, correct, export or delete your personal data. Email hi@peoplebeam.co.

1. Who we are

PeopleBeam Technology Ltd is a company registered in England and Wales (company number 13710765). Registered office: Citrine House, 87 Lismore Boulevard, Flat 32, Colindale, London NW9 4GD, United Kingdom.

For questions about this policy or your personal data, email hi@peoplebeam.co.

2. Our role: controller or processor

When your organization uses Beam, it decides who’s in the workspace and what they share: check-in answers, goals, feedback, praise and comments. For this workspace content, your organization is the controller and Beam is its processor. We only use it to provide Beam to your organization, as our terms and your organization’s instructions allow.

If you use Beam through your employer and want to see, change or delete workspace content, ask your workspace admin first. If you contact us, we’ll pass your request to your organization and help them answer it.

For everything else, including account details, billing, website visits, support and marketing emails, Beam is the controller.

3. What we collect

Account details. Your name, work email, job title, team, manager, profile photo if you add one and your password. If you sign in with Google, we receive your name, email and profile photo from Google.

Workspace content. What you and your colleagues add to Beam: check-in answers and mood ratings, goals and key results, feedback, praise, comments, mentions and files.

Billing details. The billing contact, company name and address, plan, number of people and payment history. Card details are entered straight into our payment provider’s secure form. We only see the card type, last four digits and expiry date.

Usage and device data. Pages and features you use, clicks, the time and date, your browser and device type, IP address, approximate location from your IP address, and error reports.

Things you send us. Emails, support conversations, demo bookings (your name, email, company and anything you tell us when you book) and survey answers.

Connected apps. If your organization connects another app to Beam, we receive what that connection needs to work, such as the account name and the data it sends to Beam.

We don’t ask for sensitive data such as health information. Please don’t put it in Beam unless your organization has told you it’s appropriate.

4. How we use it and why we’re allowed to

UK and EU data protection law says we need a legal reason for each use. Here’s ours.

What we do
Our legal reason
Create and run your account and workspace, send check-ins, reminders and notifications
To perform our contract with you or your organization
Take payments, send invoices and keep financial records
Our contract, and our legal duty to keep accounts
Answer support requests and run demo calls
Our legitimate interest in helping customers and people interested in Beam
Keep Beam secure, prevent fraud and fix errors
Our legitimate interest in a safe, working service
Understand how Beam is used so we can improve it
Our legitimate interest in improving Beam. On our website, analytics cookies are set only with your consent where the law requires it
Send product news and tips by email
Our legitimate interest in telling customers about Beam, or your consent. You can unsubscribe at any time
Meet legal requests and enforce our terms
Our legal duties and our legitimate interest in protecting our rights

We don’t make decisions about people based only on automated processing that have legal or similarly significant effects.

5. Google user data

If you sign in with Google or connect your Google Calendar, we use the data Google shares only to sign you in and to show and schedule the events you choose in Beam. We don’t sell it, use it for advertising, or use it to train AI models, and people at Beam don’t read it unless you ask us to for support, it’s needed for security, or the law requires it.

Beam’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Who we share it with

We don’t sell personal data, and we don’t share it with advertisers.

Your organization. People in your workspace see what you share, depending on the settings your organization chooses. Workspace admins can manage accounts and see workspace activity.

Service providers. Companies that help us run Beam, under contracts that let them use personal data only to provide their service to us:

  • Cloud hosting, databases and file storage
  • Payment processing
  • Email delivery
  • Product analytics, in-app guides and error monitoring
  • File conversion for exports
  • Demo scheduling, customer support and email tools

For a current list of the providers that handle workspace data, email hi@peoplebeam.co.

Apps you connect. If your organization connects another app, we send it the data that connection needs. That app’s own privacy policy covers what it does with it.

Others, when needed. Our professional advisers, such as lawyers and accountants; authorities when the law requires it; and a buyer or investor if Beam is sold or reorganized, who must keep protecting your data as this policy describes.

7. International transfers

Some of our service providers process personal data outside the UK and the European Economic Area. When they do, we make sure it stays protected: either the destination is covered by adequacy regulations, or we use the UK International Data Transfer Agreement or Addendum and the EU Standard Contractual Clauses.

8. How long we keep it

  • Account and workspace data: while your organization has an active trial or subscription. After it closes, we keep it for 30 days in case you come back or ask for a copy, then delete it. Copies in backups are deleted within 90 days after that.
  • Billing records: six years, because UK tax law requires it.
  • Support emails and demo bookings: up to three years after our last contact.
  • Website and product analytics: no longer than two years.

If you leave an organization that still uses Beam, what you added stays in its workspace until the organization deletes it.

9. How we protect it

Data is encrypted in transit with HTTPS. Access to customer data at Beam is limited to the people who need it to run and support the service. Card details never touch our servers.

No system is perfectly secure. If a breach affects your personal data, we’ll tell your organization, and you where the law requires it, without undue delay.

10. Your rights

Depending on where you live, you can ask us to:

  • tell you what personal data we hold about you and give you a copy
  • correct anything that’s wrong
  • delete your data
  • send your data to you or another company in a common format
  • stop or limit how we use it, including for marketing
  • withdraw consent you’ve given, at any time

Email hi@peoplebeam.co. We may ask you to confirm your identity. We’ll answer within one month and won’t charge you. For workspace content, we’ll work with your organization on your request, as explained above.

If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You can also complain to the UK Information Commissioner’s Office at ico.org.uk, or the data protection authority where you live.

11. Cookies and similar technologies

Cookies are small files a website stores in your browser. We use:

  • Essential cookies to sign you in, keep you signed in, remember your cookie choices and keep Beam secure. These are always on.
  • Analytics cookies to see which pages and features people use, so we can improve them.
  • Cookies from embedded tools, such as our demo booking calendar, which sets its own cookies when you use it.

We don’t use advertising cookies. You can change your choices for our website at any time in cookie settings, or block cookies in your browser.

12. Emails from us

We send service emails, such as check-in reminders, notifications and billing receipts, because Beam needs them to work. You can choose which notifications you get in your Beam settings.

Product news and tips are optional. Every one has an unsubscribe link.

13. Children

Beam is a work tool for adults. It isn’t meant for anyone under 18, and we don’t knowingly collect their personal data.

14. Changes to this policy

If we make important changes, we’ll tell workspace admins by email or in Beam before they take effect. The date at the top shows when this policy last changed.
